Government & Public Affairs (GPA) is responsible for inspiring and driving public policy globally to accelerate NIKE, Converse, and Jordan’s business priorities. The team takes an integrated approach across government officials, external stakeholders and community and civic groups to engage and represent Nike on the state, local, and international levels.
WHO WE ARE LOOKING FOR?
We’re looking for an Executive Assistant to the VP, Government & Public Affairs and Public Policy Officer. This role will be the principal administrative partner to the VP of a high-performing, highly engaged team with several internal and external senior executive-level stakeholders and VIPs, as well as across Nike’s Senior Leadership Team and Geographies. The role will manage administrative processes including strategic calendar management involving scheduling meetings/appointments across time zones and cultures; coordinating complex travel itineraries; deck presentations; creating and reviewing expense reports; managing the GPA budget; and invoice processing and vendor management. The successful candidate will represent the VP, the function and the company internally and externally and plays a critical cohesive role for the team. He/She will handle highly confidential and sensitive information/materials in a fast-paced, high energy and often ambiguous environment, while anticipating the VP’s needs and interacting with multiple and diverse stakeholders. The candidate needs to be a trusted thought partner with strong written and verbal communication skills; organizational prowess and proven ability to work in a fast-paced and highly complex environment, all the while demonstrating a commitment to winning as a team, culture and belonging.
WHAT WILL YOU WORK ON?
If this is you, you’ll be working with the VP and team to deliver on its enterprise priorities.
- Be a confidential sounding board, confidant and conduit to keep the executive well informed and help facilitate his/her decision making
- Active engagement and participation as a member of the GPA leadership team
- Calendar Management: Proactively and strategically manage VP’s calendar based on an anticipation of the VP’s needs and an understanding of how best to move the business forward. Field and manage multiple requests for the VP’s time and respond in an appropriate and timely manner.
- Planning: Track, anticipate and plan for key dates and gates including Board of Directors, performance review dates, 1:1s, Quarterly All Team Meetings, and other yearly occurrences.
- Travel: Book domestic and international business travel, prepare detailed itineraries, gather documents and provide background research where necessary, process Visa applications, passport renewals and requiring documents
- Team Meetings: Own weekly Leadership Meetings by providing an agenda and taking and distributing meeting notes.
- Expenses: Track, submit and pre-review expense reports for policy compliance and accuracy
- Meetings and Events: Plan and coordinate team meetings and events of varying sizes and complexity; including venue selection, ordering catering, tracking expenses, agenda creation, material preparation, A/V resource planning, and coordinating communications to the attendees, and taking notes.
- Provide a confidential resource for team members and anonymously elevate concerns to leadership when appropriate.
- Presentations: Produce and/or edit high quality PowerPoint or Keynote presentations, emails and Word document memos
- Communications: Draft/edit communications, manage distribution lists, slack channels, and involve appropriate stakeholders
- Coach and guide 5 global Sr. Administrative Assistants: Lead regular administrative staff meetings; share relevant information across the team, monitor and manage workload where necessary, support each individual’s development
- Support broader team events, projects, activations or other deliverables as needed
WHO WILL YOU WORK WITH?
You and the VP will function as a team, together with GPA Leadership Team. You’ll collaborate with global administrative partners throughout the function and OGC, as well as across Nike’s Executive Leadership Team and Geographies.
WHAT YOU BRING
- Strong written and verbal communication skills; ability to work and communicate effectively with a variety of personalities including senior level executives
- Proven ability to work in a fast-paced, results-oriented, team environment often with high levels of ambiguity and independence
- Exceptionally strong organizational skills, especially with a highly organized executive who is very detail oriented
- Bachelor’s degree in business or related field. Will accept any suitable combination of education, experience and training.
- Excellent judgement that includes an ability to prioritize and appropriately handle highly confidential and highly sensitive information
- A calming force in high stress situations who takes initiative and seeks connection to solve problems and answer questions; strong sense of resiliency
- Proficiency using required software as well as internal Nike systems
- Ability to take initiative, follow-through on requests until completion and appropriate follow up, and demonstrate operational excellence
- Minimum of 5 years (preferably 7 years) of progressively responsible experience in an administrative support capacity at the executive level
- Exceptional communication skills, compelling storytelling acumen, poise and presentation expertise as well as strong reading, writing and math skills
- A keen relationship-builder with discernment for navigating sensitive issues and appreciating cultural differences, as well as a commitment to teamwork, culture, and fun!
- Strong project management skills with demonstrated ability to take projects from concept to successful completion
- Unique combination of analytical ability, creativity, work ethic and sense of humor
- Ability to create high-quality and visually compelling presentations
- Advanced working knowledge of personal computers, including MS Outlook, PowerPoint, Keynote, Word, Excel, and Co-Pilot/AI
- Interpersonal skills that enable you to work effectively and diplomatically with a variety of personalities, stakeholders and public officials
- Willingness to work flexible hours is preferred
- Desire to have fun and make a difference with the best team and best brand in the world
- Previous experience handling sensitive and highly confidential material is preferred
- Previous Nike work experience is strongly preferred
